Expansion of the Hartwig Client Portal: registration becomes easier, safer, and smarter

The expansion of the Hartwig Client Portal marks another important step in further digitizing the collaboration between Hartwig Medical Foundation and its partner hospitals. After previously moving from spreadsheets to a secure, direct environment for downloading WGS results, a new milestone has now been reached: the introduction of a fully integrated registration module.

A logical next step: from results to registration

The first version of the client portal offered hospitals a secure way to download WGS reports directly — a major improvement over the earlier process, where reports were shared via email or other less secure channels.

With the new registration module, the WGS request process is now digital as well. Hospitals can submit requests directly through the portal, eliminating the need for paper forms or excel files that were often exchanged via email.

This expansion aligns seamlessly with Hartwig’s ambition to streamline and secure the entire WGS workflow.

Security first

As with the results module, the primary motivation behind this enhancement is the security of patient data. By ensuring that requests are submitted exclusively through the portal, the risk of data breaches caused by email traffic or loose files is significantly reduced.

The module is also designed so that users only need to provide information that is truly relevant to the request. The interface adapts automatically based on earlier choices, keeping the process intuitive and efficient.

Smarter interaction for greater ease of use

The new module guides users through a step–by–step registration process, where follow-up questions depend on the selections made. This prevents unnecessary fields and makes the workflow faster and clearer.

Access to the registration module is arranged in the same way as for the results module. No new accounts are required, and hospitals can easily manage which staff members have access to which parts of the portal.

Hospitals informed — first registrations already completed

All partner hospitals have now been informed about the new procedure for registering tumor material. The rollout is progressing smoothly: more than six hospitals are already connected, and the first registrations using the new workflow have been successfully completed.

This early adoption shows that the need for a secure, efficient, and digital request process is strong — and that the new module meets that need precisely.

Moving toward a fully digital WGS process

With the introduction of the registration module, Hartwig takes another step toward a fully digital and integrated process for WGS requests and results. In the coming period, the module will be further refined and expanded in close collaboration with the hospitals that use the portal daily.
